Order Process
- Pricing is submitted to client for approval
- Client signs quote and submits %50 deposit (%100 for new accounts)
- Artwork is prepared for client approval
- Production begins upon receipt of signed quote, artwork and deposit.
- Manufacturing takes 2-4 weeks from receipt of signed quote and art sketch. Rush orders may be subject to supplier surcharges
Overages & Shortages
- All ad hardware orders (ie- pens, magnets) orders are subject to “%5 over or under” quantity variance. Your final invoice will reflect the amount shipped.
- If you require an exact quantity, please specify at time of order
Artwork & Design
- First 30 minutes of artwork is free. Hourly rate is $60/hour thereafter
- Artwork produced for presentation is the property of Ultimate Promotions until account is paid in full
- Customer assumes liability for patent and copyright infringement
- Graphics can be e-mailed in .PDF or Adobe Illustrator .ai file (CS or lower). JPG’s are not acceptable for imprinted and art charges may apply should the logo require a re-draw.
Color Matching
- Specified colors will be matched as closely as possible from manufacturers standard color palette
- Exact Pantone color matching may require special ordering and may be subject to a surcharge.
Order Placement & Delivery
- Our minimum order is $300.
- A %50 deposit payable by credit card or cheque is required on all orders over $500.
- Orders under $500 are Prepaid or C.O.D at the discretion of the manager
- Delivery is approximately 2 to 4 weeks from the date of arrival of your signed quote, signed artwork and deposit
- RUSH ORDERS can usually be accommodated. We require a credit card and %100 payment in advance. Rush orders are defined as having an event date within 7 working days of the time of purchase. The purchase is initiated upon receipt of payment and signed art sketch
- Please specify event date at time of order.
- Purchase orders will be accepted at the discretion of the General Manager.
Quotation
- Quotations are valid for 30 days after which prices are subject to change without notice.
Set Up Charge
- There will be a set up charge most items. Many suppliers charge a fee on every order.
Terms
- Terms are granted upon completion of a credit application.
Shipping
- All orders will be sent UPS, Greyhound, or Sea to Sky courier and shipping charges added onto the invoice, unless requested otherwise.
- Shipping costs include freight from supplier to Ultimate Promotions and transport of finished product to clients specified address.
Overdue Accounts
- Payment policy is net 15 days upon approved credit. No further orders will be processed if an account is past due 45 days. Accounts that exceed 90 days will be closed.
Returns
- We stand by our product. If you are not satisfied with your order for whatever reason, we will do everything in our power to make you happy. When you receive your order, please go through it carefully. Inspect, count the items and cross reference with your order before giving the product away. You have 3 business days to inform us of errors, omissions or quality defects. If there is a typo or error that was approved on your art proof, it is your responsibility.
- Our manufacturers require that quality and imprint issues be brought to their attention as soon as possible. They usually ask that you return the order in it’s entirety for quality control review and possible replacement. This may include replacing the order free of charge or offering a credit on future orders. We evaluate returns on a case by case basis.

- Do you have a catalog to mail me?
We have many catalogs to mail you. We will need to know more about your needs. Catalog requests without a full name, company name and a telephone number will not be fulfilled.
- How much?
Due to the huge catalog of items we carry, we’ll need to chat with you a bit to determine this. There is a ballpark costs on all product categories. Call to inquire.
- How Long?
Typical lead time is 2-3 weeks. We don’t manufacture anything ourselves. We specialize in rush orders so if your event is less that 3 weeks away, call us at 1-866-661-9696 or fill out this form to expedite the process (use meeting planner form)
- Why can’t you use my JPG logo on my cup and what the heck is a “dot eh? eye” (.ai) file anyways???
JPG’s are great for the web. They do not produce a clean, crisp imprint. If you have printed business cards, banners or signs, chances are you can get a .ai file from your printer or sign maker.
- Can I have a sample?
Free samples are provided on a case by case basis. Typically we require a verbal commitment to order. If you obtain samples from us and choose not to order, we ask that you ship them back to us in the mail. We try to be fair about samples as sometimes it costs more for shipping that the product costs. Rush sample orders will require a valid UPS or FEDEX number.
